Privacy Policy

Your financial life is intimate information. This policy explains exactly what we hold, why we hold it, who can see it, and how to take it back.

1. Who this policy covers

Venus Rose is operated by Venus Rose Business Academy Pty Ltd (ABN 82 678 918 379) in Queensland, Australia. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy applies to the Venus Rose platform, our website and our emails to you.

2. What we collect

Information you give us

  • Account details: your name, email address and password (stored only as a one-way hash).
  • Security settings: whether two-step sign-in is on, your authenticator secret and unused recovery codes.
  • Business details: business name, structure, industry, financial year settings and the accounts you set up.
  • Financial records: transactions you import or enter, amounts, dates, descriptions, the codes and subcategories you assign, transfer matches, coding rules, cashflow targets and personal budget figures.
  • Messages: what you ask Venus, and anything you send through the contact form.

Information we generate or record

  • Reports, metrics and suggestions calculated from your own figures.
  • An activity log of significant account actions, for security and support.
  • Basic technical information from your device, such as browser type, approximate location from your IP address and error logs, used to keep the service working and secure.
We never ask for and never store your internet banking login, passwords or card numbers. Venus Rose does not connect to your bank. Financial data reaches the platform because you import or enter it yourself.

3. Why we hold it

  • To create and run your account, and to keep it secure.
  • To calculate your metrics, cashflow view and equity position.
  • To let Venus read your figures and answer your questions about them.
  • To suggest coding for similar transactions so you are not repeating yourself.
  • To take payment and manage your subscription.
  • To provide support, and to tell you about changes that affect your account.
  • To meet our legal, tax and record-keeping obligations.

We do not sell your personal information, and we do not disclose it for another party’s marketing.

4. How Venus, the assistant, uses your data

When you ask Venus a question, we send the question along with a summary of the relevant figures from your account to the artificial intelligence service we use, so that an answer can be generated. That summary contains your financial figures and transaction descriptions. It is used to produce your answer, not to build advertising profiles or public products.

If you would rather Venus never sees a particular record, do not enter it, or remove it before asking. Venus’s answers are guidance based on your own numbers and should be checked before you act on anything material.

5. Who else is involved

We share only what a service needs to do its job:

  • Abacus.AI, which hosts the platform and database and provides the artificial intelligence and email delivery services behind it.
  • Our payment provider, which handles card details directly. We receive only the status of a payment and a masked reference, never your full card number.
  • Professional advisers, such as our accountant or lawyer, when they genuinely need access.
  • A regulator, court or law enforcement body, where we are legally required to disclose.
  • A buyer or successor, if the business changes hands. You would be told, and this policy would continue to apply until you were given a new one.

Some of these providers store or process data on servers outside Australia, including in the United States. Where that happens we take reasonable steps to ensure your information is handled with protections comparable to the Australian Privacy Principles.

6. How we protect it

  • Traffic to and from the platform is encrypted in transit, and stored data is encrypted at rest.
  • Passwords are stored as one-way hashes and cannot be read by us or recovered for you.
  • Optional two-step sign-in is available on every account, and we recommend it.
  • Access to production data is limited to what is required to operate and support the platform.
  • Significant account actions are logged so unusual activity can be traced.

No system is perfect. If a breach ever occurs that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as the Notifiable Data Breaches scheme requires.

7. How long we keep it

  • While your account is active, we keep your records so your history stays intact.
  • When you delete a business, its transactions and reports are deleted with it.
  • When you suspend or close your account, records are held for the retention window shown in Settings and then deleted.
  • Some records, such as invoices and payment history, are kept longer where tax and accounting law requires it.

8. Your rights and choices

  • Access: ask for a copy of the personal information we hold about you.
  • Correction: fix anything inaccurate, either in the platform or by asking us.
  • Deletion: delete a business, or close your account, and have the records removed after the retention window.
  • Export: take your transaction data out at any time.
  • Anonymity: you may browse our public pages, including this one, without giving us your name.
  • Marketing: every optional email we send has an unsubscribe link. Account and security emails are necessary and continue while your account is open.

We respond to privacy requests within 30 days. There is no fee for a reasonable access request.

9. Cookies

We use a small number of cookies, mostly to keep you signed in. Every one of them is listed, and can be managed, in our Cookie Policy.

10. Children

Venus Rose is built for adults running their own finances. We do not knowingly collect information from anyone under 18. If we learn that we have, we will delete it.

11. Changes to this policy

If our practices change, this page changes with them, and the effective date at the top is updated. Significant changes will be told to you inside the platform or by email.

If you are not satisfied with how we handled your privacy concern, you can escalate it to the Office of the Australian Information Commissioner at oaic.gov.au.
